Customer Care, Retail Support & Business Operations Coordinator 

 

Full-time • Remote (Canada)

This role is all about caring for our customers, supporting our retail partners, and helping the village grow with kindness, creativity, and solid follow-through. What You’ll Do

Customer Care (The Heart of the Role)

  • Process wholesale and direct-to-consumer orders with accuracy and a sense of calm organization
  • Respond to customer questions via email, chat, social, or phone with warmth and clarity
  • Troubleshoot order issues — shipping hiccups, returns, product concerns — and find solutions that leave people feeling supported
  • Track common questions and update our FAQs so customers can find answers easily
  • Flag sensitive or unresolved issues to the CEO when extra attention is needed

 

Accounting Support

  • Assist with accounts receivable and light bookkeeping tasks
  • Support the team in keeping expenses/records accurate and up to date

 

Operations

  • Coordinate with our warehouse on incoming stock, outgoing shipments, and anything that keeps orders flowing smoothly
  • Maintain accurate inventory levels in Shopify and our shipping tools
  • Keep an eye on logistics details so nothing falls through the cracks
  • Book containers & inventory transfer to keep puzzle in stock

 

Marketing & Trade Support

  • Update and maintain our store locator so customers can find our puzzles locally
  • Manage product announcements, promotions, and campaigns on Faire
  • Maintain product listings and manage GS1 setup
  • Create and update wholesale catalogues and order forms in Canva
  • Add and refresh content on our website — including product pages and artist spotlights
  • Fulfill marketing, PR & event requests to share Villager with puzzle lovers

 

Events & Market Support

  • Help plan and schedule trade shows, regional markets, and pop-ups
  • Coordinate with event staff to ensure displays are stocked, beautiful, and on-brand
  • Book trainings and recap key takeaways for the team
  • Occasional on-site event or planning support as needed

  • Get-it-done: You figure things out, take initiative, and keep tasks moving without handholding.
  • Ownership-Driven: When something lands on your plate, you shepherd it from start to finish.
  • Caring: You communicate with warmth, patience, and a genuine desire to help.
  • Experience: customer service, retail or small-business operations is a big plus.
  • Problem-solver: Strong problem-solver who knows when to ask for help or escalate.
  • Tech-savvy: Familiar with tools like Shopify, Faire, Canva, QuickBooks, Microsoft Office/Google Suite — or eager to learn quickly.
